Team Hub – How to Use

This guide shows you how to set up your Team Hub App.

  1. 1. Team Hub home screen

    After joining your club hub, you’ll see the Team Hub home screen. Tap Maintenance Log.

  2. 2. Add your machine list in Settings

    Go to Settings → Maintenance machines and add your vehicles.

  3. 3. Add a maintenance entry

    Select machine, hours, initials, status and optional note.

  4. 4. Red status warning

    Red machines warn users when attempting to sign them out.

  5. 5. Status dots on home screen

    Amber or red machines show dots on the home tile.

  6. 6. Connect Google Sheets (optional)

    In Settings → Links & Sheets, paste your Maintenance Webhook URL from Google Sheets.

    This allows all maintenance entries to be automatically sent to your central log sheet, giving your team shared access to service history.

  7. 7. View the log in Google Sheets

    Your entries auto-appear in your sheet.

  8. 8. Add team members & assign colours

    In Settings → Team Members, add each member of staff and choose a colour dot for them.

    The colour will be used across the Team Hub for Notes, Holidays, and notifications, making it easy to see who each item belongs to.

  9. 9. Add a Team Note

    Open the Team Notes app to create shared notes for the team.

    • Add the note text
    • Choose a priority (Green = low, Amber = medium, Red = high)
    • Optionally assign the note to a staff member

    Assigned notes display that team member’s colour across the app.

  10. 10. Notifications on the Team Notes tile

    If a note is assigned to a staff member, their coloured dot appears on the Team Notes home tile.

    This gives the whole team a quick overview of who has an active note.

  11. 11. Add a Calendar event

    Select a date in the Calendar app, enter an event or note, and add an optional time. Tap Add to Calendar.

  12. 12. See events in the calendar

    Events appear in the selected day list.

  13. 13. Add staff holidays

    Select a date, choose a team member from the dropdown, and tap Add to Calendar.

    Team Hub uses each member's colour to display holidays in the monthly view.

  14. 14. Holiday overview

    Holidays appear in both the month strip and the day details with the staff member's assigned colour.

    This helps quickly see who is off each day.

  15. 15. Link your Tee Sheet & Daily Jobs

    In Settings → Links & Sheets, you can paste:

    • Your club’s Tee Sheet URL (v1, BRS, or similar)
    • Your Google Sheets Daily Jobs link

    These links power the Tee Sheet and Daily Jobs tiles on the Team Hub home screen.

  16. 16. Emergency Info & What3Words setup

    In Settings → Emergency Info you can:

    • Get a precise location from what3words.com, then paste the link into the app
    • Add important emergency notes such as defibrillator locations, gate codes, first-aid points, key contacts and procedures

    This information appears under the Emergency tile so your team can access it instantly if needed.
